Managing Employee Time & Payroll With A Computerized Time Clock

Computerized time clock systems are used by businesses and organizations to keep track of employee time and attendance and provide information to generate the payroll.

Computerized time clocks have built-in security features - for example biometric employee recognition e.g. by fingerprint, palm or retina - that ensures the time stamped on a card or registered into the system is correct. The time clock devices and readers are easy to set up, transport and use.

Unfortunately employers cannot necessarily rely on their employees to be honest and hand written time cards can be easily manipulated and so employers can lose thousands of payroll dollars for “work” not actually done. It is also legally prudent to use a computerized time clock system, as you can prove what hours have and have not been worked and avoid disputes or lawsuits.

There are a wide variety of time clock systems to choose from. Over the years, time clocks have been designed so they can be placed in a variety of locations e.g. on a countertop or mounted to a wall.

Many computerized time clocks can add the hours worked in a pay period and use this to generate reports, making payroll calculations easier. Usually time recording software is installed on a personal computer. Time recording software allows your employees to clock in through a computer. The time is automatically added up and it is easy for employees to clock in and out.

Digital time clocks store clock in and out or “Punch IN and OUT” times electronically- most modern clocks keep a running total of time worked and help calculate hours worked for payroll. Some have a touch pad device that allows you to punch in a code and clock in or out. Other digital time clocks can be interfaced with a computer or a printer for larger organizations.

Some time systems also have the ability to use a magnetic stripe, like you see on a credit card, which can be put directly onto a photo ID card that can then be used to clock in and out.

This collected data is stored in the device and provides you with exact details on time worked. Most of these devices can now be interfaced to a computer and the data used for payroll calculation.
